How the whole system works

Easy Pest Control AI runs your pest control company end to end โ€” customers, routes, service programs, the legal record of every application, termite work, invoicing and payroll. This page walks through every part of it, screen by screen, in plain language.

What Easy Pest Control AI is

Easy Pest Control AI is one system made of two apps that work together. The Owner app is where the company is run. The Employee app is what each technician carries in the field. Both come with one subscription and everything included โ€” no add-ons, no features held back behind extra payments.

The two apps have a strict split. The Owner app holds the whole business: customers, scheduling, prices, invoices and payroll. The Employee app is for field work only โ€” a technician sees their own stops and does the service, and that is all. It never shows prices: no service rates, no invoice totals, no pay amounts. Money lives only in the Owner app.

Built for the legal side of pest control Pest control is a licensed, regulated trade. Every time a product is applied, the law expects a proper record of what was used, where, how much, and by whom. Easy Pest Control AI is built around that: every application leaves a complete, compliant record that the business keeps for years โ€” not a note in someone's notebook.

Getting started

  1. Subscribe on the website Subscriptions are sold on the product website โ€” not inside the app โ€” and one subscription covers your whole company. Downloading the apps themselves is free; you sign in with the account from your subscription.
  2. Sign in as the administrator The owner signs in with the administrator username and password. From the Owner app you set up the business and create the team.
  3. Give each technician their own login Every technician gets their own username and password. That login is how the app knows whose route is whose โ€” and who performed each service.
  4. Put each technician's license number on their profile A technician's license number lives on their profile and is stamped automatically onto every record they produce. Nobody types it by hand at each stop, so it can't be misspelled or forgotten.
  5. The owner can work a route too If you go out in the field yourself, you are assignable like any technician: you can run your own route end to end from inside the Owner app, with the same field flow and the same completion requirements. Your finished work bills your customers normally โ€” and on the payroll sheet you appear as "Owner โ€” not paid out", because owners don't pay themselves wages.
  6. Pick your language The EN / ES button switches the entire app โ€” every screen and every app-generated document โ€” between English and Spanish. Nothing is left half in one language and half in the other. Names and notes you type yourself are never translated.

Today & routes

The Owner app opens on the day: every technician's stops for today, in route order, with the status of each one as the day moves โ€” not started, on the way, in progress, finished or skipped. You can see the whole operation at a glance without calling anyone.

Service programs drive the schedule

Stops don't come from loose appointments โ€” they come from each customer's service program. A quarterly general pest program, for example, generates its visits on its frequency, and each stop shows where it sits in the cycle โ€” "visit 2 of 4" โ€” so you always know how far along the program is. Monthly, bi-monthly, quarterly and other frequencies work the same way.

Changing the day

  • Move one stop โ€” send a single visit to another day or another technician when a customer reschedules or someone calls out.
  • Move a whole day โ€” shift a technician's entire day at once, for example when a truck is down or the weather closes a route.
  • Changes reach the technician's app, so the route they see is always the current one.

Customers & programs

Each customer has a full record: who they are, how to reach them, and everything about the service at their property. Every contact field is tappable โ€” the address opens maps/navigation, the phone number calls or texts, and email opens your mail app.

What a customer record holds

  • Contacts โ€” phone, email and service address, each one tap-to-use.
  • Service programs โ€” the services the customer is on, each with its frequency and its visits across the cycle (for example, a quarterly program with visits 1 to 4).
  • Cleanouts โ€” one-time initial or cleanout services, recorded separately from the recurring program.
  • Devices on site โ€” every device placed at the property: bait stations, traps and termite monitoring stations, listed so they can be checked on every visit.
  • History โ€” the past service reports for that customer, so the last visit's findings and applications are always one tap away.

Why devices are listed A station that nobody checks is a station that stops working. Because the devices on site are part of the customer's record, they appear in the technician's work flow at that stop โ€” every station gets a status on every visit (see section 10).

Products & compliance

The product catalog is the list of products your company applies. Each product carries its EPA registration number โ€” the number printed on the product's label that identifies it with the Environmental Protection Agency. That number flows into every application record made with the product.

A blank EPA number is flagged โ€” never invented If a product in your catalog is missing its EPA registration number, the app flags it so you can copy the real number off the label. The app will never guess, generate or fill in a registration number for you โ€” a wrong number on a legal record is worse than a missing one.

Finished records cannot be changed

Once a service is finished, its application record is locked (immutable). Nobody โ€” not the technician, not the owner โ€” can edit what was applied, how much, or where. If something genuinely needs correcting, the correction is made as an addendum: a new, dated note attached to the original record. The original stays exactly as it was, and the addendum sits alongside it. That is how a record stays trustworthy if it is ever questioned.

The Compliance export

  1. Choose a date range Pick the period you need โ€” a month, a quarter, or the exact dates an inspector asks for.
  2. Choose the applicator Export one technician's records, or the whole company's.
  3. Download the audit file You get the complete set of application records for that selection โ€” products, EPA numbers, amounts, properties, dates and licensed applicators โ€” in one file, ready for an audit or an inspector. Records are kept for years, so old periods are there when you need them.

Termite work

Termite work runs on its own rhythm โ€” monitoring that continues month after month, and contracts that come up for renewal once a year. The Owner app keeps both in view.

Monitoring contracts

Termite monitoring contracts are tracked as their own kind of program. The stations on site are part of the customer's devices, get checked on visits like any other device, and their status history builds up over the life of the contract.

The Renewals list

The Renewals list shows every contract that is coming due โ€” who is due and in how many days โ€” so renewals never sneak up on you or quietly lapse.

  1. Open the Renewals list Contracts are listed by how soon they are due.
  2. Tap renew One tap renews the customer's contract for the new period.
  3. The invoice is created with it Renewing generates the invoice at the same time โ€” no separate billing step to remember.

WDI inspection work orders

Wood-destroying insect (WDI) inspections โ€” the inspections often needed for a real-estate closing โ€” are handled as work orders structured on the NPMA-33 form, the standard WDI inspection report format. The work order carries the inspection's findings and ends with dual signatures: the inspector signs, and the customer (or their representative) signs โ€” both on the record, as the form expects.

Money & payroll

All of the money lives here, in the Owner app: what you quote, what you bill, and what you pay your team.

Quotes and invoices

  • Quotes โ€” prepare a quote for a prospective customer; when it's accepted, it becomes billable work.
  • Invoices โ€” finished services flow into invoices, so completed work is what gets billed.
  • The billing run โ€” when a period closes, one run creates the invoices for all the finished work in it. The run checks what has already been billed, so nobody is ever billed twice for the same service.

Work orders

A work order is a one-off job outside a customer's regular program โ€” a WDI inspection, a special treatment, an extra call-out. Work orders can carry an optional pay amount (what the technician earns for it) and an optional charge (what the customer is billed), so extra work is tracked instead of living in text messages.

Payroll

  • Each employee's pay is set their way โ€” per service or per hour โ€” in their profile.
  • The payroll sheet adds up the period from the work actually recorded: finished services and work orders, each stamped with who did them.
  • The owner appears on the sheet as "Owner โ€” not paid out" and is left out of the payout totals โ€” their work still counts toward the business, they just don't pay themselves a wage.
  • The finished payroll can be exported for your records or your accountant.

Team

The Team area is where you manage everyone's login, license and standing. Each employee phone only ever holds that employee's own route โ€” never the full customer list โ€” so a lost phone is a small problem, not a company-wide one.

When someone leaves

  • Set them Inactive โ€” their login stops working immediately. Their route can be reassigned, and all of their history is preserved: every record they ever produced stays on file with their name and license on it, exactly as the law expects.
  • Delete is refused when the technician has records โ€” if a person has service reports or application records in the system, the app will not delete them. Records are never destroyed to tidy up a list; deactivate the login instead.

GPS track

For each technician you can see their GPS track โ€” where the day's work actually happened, stop by stop โ€” which backs up the route and the finished reports.

Doing the work

Inside a stop, the work screen walks the service in order. Everything you record here becomes part of the customer's report and the company's records.

Findings

Record what you actually found: pests seen, signs of activity (droppings, trails, webs, live insects), and conducive conditions โ€” the things that invite pests, like standing water, wood-to-ground contact, gaps around pipes or clutter against the wall. Findings are what the customer reads in their report, and what the next visit compares against.

The checklist

The stop's service checklist covers the steps of the treatment. Work down it as you go โ€” it keeps every visit consistent, whoever is on the route.

Device checks

Every device on site โ€” each bait station, trap and termite station from the customer's record โ€” is listed, and every station gets a status before the visit can close: checked and fine, serviced, replaced, damaged, and so on. Nothing on the property is silently skipped.

Photos

Take photos of what you found and what you did โ€” activity, conditions, treated areas. At least one photo is required to finish a stop: the report that goes to the customer carries the picture with it.

The Application Record

This is the heart of the app. Whenever you apply a product, the app builds the application record โ€” the legal record of that application. It is filled in during the stop, while you're standing there, not from memory at the end of the day.

ProductPicked from the company catalog โ€” its EPA registration number comes with it automatically.
AmountHow much product was actually applied at this stop.
DilutionThe mix rate used, as applied.
Target pestsWhat the application was aimed at.
Areas treatedWhere on the property the product went.
WeatherConditions at the time of application โ€” required for outdoor work.
Your name & licenseStamped automatically from your profile. You never type it.
Date & timeStamped when the service is finished.

Finish is blocked without a complete record If a product was applied, the stop cannot be finished until its application record is complete. The app stops you at the door rather than letting an incomplete legal record slip into the files โ€” it's far easier to fill in one missing field at the property than to reconstruct it later.

When the service is finished, the customer receives a copy of the report โ€” findings, device checks, photos and what was applied โ€” so they can see exactly what was done at their home or business.

Finish & Skip

Finishing a stop

When findings, checklist, device checks, photos and the application record are all complete, tap Finish. The app stamps the date and time on the service, locks the record (see section 5), sends the report to the customer, and the stop moves off your active route. Work you finish is what the office bills and what your pay is counted from โ€” finishing properly is what makes both of those right.

Skipping a stop

Sometimes a service genuinely can't happen โ€” gate locked, nobody home, dog in the yard. Tap Skip and give the reason. A skipped stop with a reason is useful information for the office; a stop that just vanishes is a mystery. The office sees the skip and the reason, and can reschedule from there.

Work orders

One-off jobs appear in your app alongside your route: work orders assigned to you by the office, and work orders you create yourself when you spot a job that needs doing. You run them with the same flow โ€” findings, record, photos, finish.

Dictate & Easy, your assistant

Typing with gloves on, in the sun, is nobody's idea of a good time. Two things make the paperwork light: dictation and Easy, the assistant built into every EasySoftware AI app.

Dictate instead of typing

After a stop, dictate your notes and findings out loud and Easy fills them into the stop for you. Talk the way you'd tell the office โ€” what you saw, what you treated, what the customer should know โ€” and check what landed on screen before you finish.

Ask Easy anything about your work

  • Ask in English or Spanish โ€” Easy answers in the language you use.
  • Easy answers from the app's real data only โ€” your stops, your findings, your schedule. If something isn't in the app, it says so instead of making something up.
  • When an answer is about a specific stop or screen, Easy gives you a button that opens that exact screen.
  • For actions that change something important, Easy asks you to confirm first.

Easy never writes a chemical record for you This is deliberate, and it's the law as much as the design: an application record has to be entered and confirmed by the licensed applicator who did the work โ€” you. Easy can help with notes, findings and answers, but the chemical record is always yours to enter and confirm. No assistant, however helpful, can take legal responsibility for an application โ€” the person holding the license does.

Good to know

Common questions

Why can't a record be edited after I finish a service?

Because it's a legal record. Months from now, that record may be the proof of what was applied at a property, by a licensed applicator, on a given day. If it could be quietly rewritten, it would prove nothing. So finished records are locked, and genuine corrections are made as a dated addendum attached to the original โ€” the history of the record stays visible, which is exactly what makes it trustworthy.

Why is weather required for outdoor applications?

Because weather is part of whether an application was done properly. Wind can carry a product off target and rain can wash it away, and product labels set conditions for outdoor use. Recording the weather at the time of application shows the work was done under suitable conditions โ€” and if a treatment ever underperforms, the weather on the record is the first clue to why.

Why do employees never see prices?

Because prices are the business's private information, and the Employee app is a field tool. A technician needs the route, the findings, the devices and the application record โ€” not what the customer pays or what anyone earns. Keeping money entirely in the Owner app protects the business, and it also keeps the field app simple: it holds only what the day's work needs.
